After School Program

After School Program (ASP) 2018-2019

St. Paul’s Episcopal School After School Program (ASP) is an extension of the regular school day. ASP students must abide by all school principles and guidelines while in ASP. The program serves the childcare needs of parents and students while fostering the same St. Paul's community atmosphere.

Logistics

  • After Care

    Sign-In: ASP assumes responsibility for all students on campus from school dismissal times until 6 p.m. Students waiting outside the building will be checked into ASP, parents will be contacted, and parents will be billed accordingly. Please do not give your children contradictory and inconsistent messages by telling them to wait in the lobby, on the sidewalk, or on the church steps in order to avoid signing into ASP.

    Students are signed into the After School Program by ASP staff. Every student is assigned a separate sign in/out sheet for the month. These sheets are placed in grade level binders in alphabetical order by last name.
     
    Sign-Out: Every student must be signed out by an authorized adult before leaving ASP. We do this to ensure the whereabouts of all students at all times, and to ensure proper billing.

    For students using Care Cards, ASP calculates the time that students are in the program. Therefore when you pick up your child, write the sign out time and your initials in the appropriate spaces. If you do not include the sign-out time, we will calculate an average sign-out time based on your child’s sign in/out sheet for that month.
  • ASP Schedule (Early Dismissal, Closures, and Camp Days)

     
    Before Care and the After School Program begin on the very first day of school, Tuesday, August 29, 2017. The After School Program is available for all students, Monday through Friday, from class dismissal time until 6 p.m.

    The After School Program will have early dismissal on the following dates below:
    • Friday, September 15: Book Fair Reception, ASP closes @ 5:30PM)
    • Thursday, June 7: Graduation, ASP closes @ 5:30PM

    The After School Program will be CLOSED on the following dates:
    • Monday, September 4: Labor Day
    • Monday, October 9: Indigenous People’s Day
    • Wednesday, November 22 - Friday, November 24: Thanksgiving Break
    • Monday, December 18 - Monday, January 1: Winter Break
    • Monday, January 15: Martin Luther King, Jr. Day
    • Friday, March 30: Good Friday
    • Monday, May 28: Memorial Day

    ASP will offer camp on the following dates:
    • Friday, November 17: Conference Day
    • Friday, December 15: Winter Break
    • Friday, January 12: Report Card Day
    • Friday, February 16, and Tuesday, February 20 - Friday, February 23: President’s Week Break
    • Friday, March 9: Conference Day
    • Monday, April 2 - Friday, April 6: Spring Break
    • Monday, April 23 - Professional Development Day
  • Before Care

    Before Care is available Monday through Friday from 7:30 a.m. until 8:00 a.m. in the Lower School building. Students will be signed into Before Care on the Mezzanine. Every student is assigned a separate sign in/out sheet for the month. The sheets are placed in grade level binders in alphabetical order by last name. After students are signed in, they may finish their breakfast, read, play games, complete homework, or socialize. At 8 a.m. Lower School teachers will meet students on the Mezzanine and accompany them to the appropriate locations for their grades. Middle School students will be escorted to the Middle School building by the person overseeing Before Care.
     
    Students may not be dropped off before 8 a.m. in front of the school buildings with the expectation that they can "hang out". Students dropped off in front of the school buildings before 8 a.m. will be enrolled in Before Care and parents will be billed accordingly.
  • Important Notes about Sign-Out Procedures:

    • Students in grades 6-8 may sign themselves out of the program with their parent’s or guardian’s written permission. ASP must have prior written permission in order for your child to sign him/herself out of ASP.
    • Older siblings may sign younger siblings out of ASP with prior authorization in writing from the parents or guardians. Older siblings must consistently and accurately sign out their younger siblings before walking with the older sibling’s class to the Veterans Green.
  • Pick-Up Authorization & Procedures:

    • We will not release students to anyone who is not on the authorization list. Please notify any authorized adults of ASP sign out procedures.
    • Anyone picking up a student from ASP should be prepared to show proper ID (Driver’s License or State ID).
    • ASP must have direct communication from parents or guardians before any student is allowed to leave with a non-guardian, including other St. Paul’s parents. All pickups must be authorized in writing, we will keep these written documents on file as reference for future pick-ups. The document must contain the pickup person’s first and last name, the student who is being picked up, the period of time for which the person is authorized to pick up, the date that the document is written, and the parent/guardian’s signature.

    • Please notify ASP if you wish to remove someone from your student’s list of authorized pick-ups.

    • ASP will not accept hand delivered notes by someone not on the authorized list.

    • Please let ASP know, in writing, if there is anyone expressly forbidden to pick up your child.
  • Veterans Green Dismissal

    Teachers arrive at the Veteran’s Green with their students in grades K-1 at  2:30 p.m., second and third grade arrive at 3:00 p.m., fourth and fifth arrive at 3:10 p.m., and grades 6-8 arrive between 3:20 p.m. Teachers remain with the students for 10 minutes after the designated dismissal times. After 10 minutes, teachers escort students back to the Lower and Middle School respectively, and they are signed into the After School Program.

  • Snack

    All students receive snack shortly after sign in. ASP provides nut-free snacks consisting of a fruit or vegetable and a main snack. Daily snacks may include quesadillas, pizza bread, chips and salsa, bagels and cream cheese, pasta with sauce, cereal, soup, chili, muffins, garlic bread, and more. Students are welcome to bring their own snacks to eat during ASP. In keeping with school guidelines, students may not share snacks brought from home. We ask that you provide healthy, no-nut, low-sugar snacks.
  • Sporting Events

    Students who are signed into the After School Program may attend on-campus sporting events with ASP staff. Any unaccompanied students will automatically be signed into ASP and parents will be contacted. Students must be accompanied by a parent or guardian if attending a sporting event outside of ASP. Students attending on-campus sporting events must remain with their parent or guardians at all times. Students who are accompanied by an adult are not allowed to roam the campus. They must stay at the sporting event.

  • Study Hall

    Students in grades 3-8 may attend silent Study Hall, Monday-Thursday, 3:30-5:30 p.m. Study Hall is proctored by ASP staff. Students may choose to attend Study Hall on their own. Parents or teachers may request that their student be placed on our Study Hall Call List as well.
  • Tutoring

    Tutors are independent contractors who are hired by parents or guardians. The After School Program provides space on campus for tutoring sessions if available. Please contact Susan McGrath (smcgrath@spes.org) or Eliza Sorenson (esorenson@spes.org) in the Educational Care Department for more information about tutoring.
  • Activities

    ASP students can choose from a variety of activities each day such as study hall, game room, reading, art projects, and organized indoor and outdoor games. Activities begin after snack time. All activities end promptly at 5:30 p.m. and the remaining students in ASP will assemble on the Mezzanine until they have been picked up. Playground activities may be extended depending on the weather and number of students remaining in the After School Program.
  • Enrichment Classes

    There are free/low-cost (in-house) and fee-based (outsourced) enrichment classes.

    Parents must register their children for all enrichment classes. Fee-based enrichment courses must be paid at the time of registration in order to guarantee a spot is saved for your child. ASP teachers will teach all free/low-cost enrichment classes, and fee based enrichment classes are taught by outside contractors. Students must be enrolled in ASP in order to participate in enrichment classes.

    Registration opens at 8 p.m. on Friday, August 31, 2018 for the Fall Art Classes below. 

    During the week of September 10th-14th students will be exploring basic techniques of drawing and painting. Each day students will be exposed to new themes such as landscapes, 3d drawing and more. Students in this class will students learn how to work with pencils, acrylic paint, watercolors and charcoal. By the end of this class students will have the basic knowledge of painting and drawing.

    Class Length: 1 week
    Class Days: September 10th-14th
    Class Time: 2:45 p.m. to 3:45 p.m.
    Class Fee: FREE
    • Students must be registered for this class, in order to attend. There is no waiting list for this class. 
    • Students should bring an old t-shirt or smock to wear during the week long class.
    • Please do not register your child if they cannot attend the entire week.

  • In-house Enrichment Classes

    Most in-house enrichment classes last 4-6 weeks in the Fall, Winter or Spring. However, some sessions may last longer. The time-frames for each season are as follows:
    • Fall: October 1st through November 22nd (Thanksgiving Break)
    • Winter: November 28th through February 16th (President’s Week Break)
    • Spring: February 27th through May 19th

  • Cancellation Policy

    In-house enrichment class registrations are non-refundable 24 hours after the registration has been received. We cannot issue refunds or credits after the registration deadline. ASP cannot prorate course fees for any reason, including illnesses. Enrichment course payments are non-transferable, parents will be required to pay the full course tuition at the time of registration. St. Paul’s After School program reserves the right to cancel any enrichment class due to low registration.
  • Outsourced Enrichment Classes

    Out-sourced enrichment vendors follow their own registration and cancellation guidelines. Please contact enrichment course vendors directly about their policies and procedures. We will post links to contact outsourced vendors to the ASP section of the St. Paul’s web page at the beginning of each enrichment course season.

  • Private Music Lessons

    The After School Program offers private music lessons on campus throughout the entire year. The music teachers are independent contractors who are provided spaces on campus to work with students enrolled in ASP.

  • Band/Mission Ensemble

    Charles Lloyd leads the band program (clloyd@spes.org). The program takes place in the Middle School during ASP. The program serves students who are currently studying an instrument, including voice. Students who are interested in exploring an instrument or voice are also welcome to join.

    The style of the band is a 'contemporary band' meaning that they play a variety of styles of music.

    Our performance ensemble, called Mission Ensemble, is primarily for sixth graders. Please contact Charles Lloyd directly for more information and schedules for Band and Mission Ensemble.


Enrollment and Billing

  • Enrollment: Full Time Contracts and Care Cards

    Full Time Contracts:The Full Time Contract is designed for students who will be in the After School Program for 6 or more hours per week. The Full Time Contract includes Before Care starting at 7:30 a.m. and Aftercare until 6 p.m. along with Lower School conference days, professional development days, and report card day.

    Parents can sign up for Full Time Contracts anytime after April 27, 2018. Cancellation of a Full Time contract after September 30, 2018 will result in a cancellation fee of 12.5% of the Full Time Contract price.
     
    Full Time Contracts can be paid in full, in two annual installments, in equal monthly installments (paid in full by June 1, 2019), or monthly payments applied to FACTS. Please contact ASP Director Kenton Young at 510-285-9618 for more details and for assistance in deciding which ASP option makes sense for your family.

    There are two options for full time contracts.

    Option 1 includes the following:
    Morning care from 7:30 a.m. to 8 a.m., After School Care until 6 p.m.
    2 Lower School Parent Conference Days
    2 Teacher Professional Development Days
    Report Card Day Camp
    Option 1 costs are $3,030 for The Lower School (K-5) and $2,300 for Middle School (6-8).

    Option 2 includes the following:
    President’s Week Camp or Spring Break Camp
    In addition to all times and dates included in Option 1
    Option 2 costs are $3,490 for The Lower School (K-5) and $2,770 for Middle School (6-8).
  • Care Cards

    Care Cards are a convenient option for infrequent or part-time users. Care Cards are available in increments of 10 hours ($110) or 50 hours ($500). Please note that we charge Care Cards in quarter hour increments. Cards may be purchased at any time throughout the year. Unused Care Card hours will roll over to the next school year. A refund will be issued for unused Care Card hours for departing students. In order to get a refund for unused hours, please send an email request to Kenton Young (kyoung@spes.org).
     
    Care Cards can be paid in full at time of purchase, in two annual installments, in equal monthly installments (paid in full by June 1, 2017), or monthly payments applied to FACTS. You may also pay for an individual Care Card after the card has been registered.
     
    Parents must keep track of their child’s Care Card hours by the ASP student record sheet (sign in and out sheet). The binders are located on the windowsill on the Mezzanine during ASP hours. Another Care Card should be purchased before the hours drop too low. If hours drop into the negative, the Business Office will automatically charge a 10 hour or 50 hour Care Card to your account and the charge will be reflected on your monthly statement.
  • Drop-in Hours

    Drop-in hours are available for infrequent users at a rate of $15/hour. All students may join ASP on a drop-in basis (that is without prior arrangement, and without a Care Card on file). The drop-in fee must be paid at the time the student is picked up. If the fee is not paid at the time of pick-up, the Business Office will automatically charge the $15/hour drop-in rate to your account and it will be reflected on your monthly statement.
  • Late Fees

    The After School Program ends promptly at 6 p.m. After 6 p.m., the late fee is $15 for each five minutes or portion thereof. For example, if you pick up your child at 6:13 p.m., the charge will be $45.00. This fee is due and payable at the time you pick up your child. The Business Office will automatically charge the late fee to your account. It will be reflected on your monthly statement. Please note, that late fees will not be waived.
  • Vacation Camps

    All camp registrations are emailed to parents at the beginning of the school year. In addition, you can register for vacation camps on the school website calendar. There is a “Register for Event” link on the calendar for each day that vacation camp is available. This link will take you to a registration page for the vacation camp. For help with registering, please contact ASP Director Kenton Young at 510-285-9601.

    Vacation Camp registration deadlines are one week prior to the start of camp. There is a late registration fee of $15.00 per child, after the registration deadline. Registration payment is due at time of registration. Refunds will not be given after the registration deadline. Care Card hours can not be applied towards vacation camps.
  • Vacation and Day Camp Cancellation Policy

    Camp registrations are non-refundable 24 hours after the registration has been received. Camp fees are not refundable or transferable (credit will not be issued) if a student does not attend. Cancellations should be submitted in writing via letter or email delivered to Kenton Young (kyoung@spes.org).
